Celleration struggled with disparate systems that required manual rekeying of information for key reporting items, and a system that created an unstable and unreliable environment with frequent system crashes. After implementing Microsoft Dynamics GP, Celleration gained significant traceability and improved business processes.

 

Business Needs
Celleration had been using a combination of QuickBooks and Microsoft Office Excel for their accounting solution, where most of their key reporting was done manually by rekeying information into spreadsheets. Celleration also had a large volume of data in QuickBooks that was creating an unstable and unreliable environment; often the system would crash during critical times.

As a member of the highly regulated industry of Life Sciences, Celleration needed to select a new ERP system that was proven stable and accepted by other medical device companies.

Solutions
Celleration needed an integrated ERP solution that offered complete traceability. OTT, Inc., a Microsoft Gold Certified Partner, worked with Celleration to create a solution that would meet the needs of Celleration now and into the future.

Through assessments and analyses of the business processes and requirement at Celleration, OTT, Inc. found that Microsoft Dynamics GP would give Celleration the tools they needed to grow their business while achieving maximum traceability and improving business processes along the way.

Implementing the Returns Management module was crucial in giving Celleration the traceability they required for product returns. The Returns Management module for Microsoft Dynamics GP empowers Celleration to meet customer and vendor requirements for product and part returns by streamlining tasks and improving their responsiveness to their customers' queries and requests.

In addition to Returns Management, the Fixed Asset Module was also a critical aspect of the solution provided to Celleration. The Fixed Asset Management module provides Celleration with improved financial control and puts company assets to the best possible use with tools for tracking, analyzing, and manipulating fixed assets.

Results
Since Celleration has been live with Microsoft Dynamics GP, the time required to reconcile inventory has been drastically reduced; after implementing Microsoft Dynamics GP, inventory reconciliation at Celleration only takes a few hours to complete, compared to the three to four days when Celleration was using QuickBooks. Celleration has also achieved a 99%+ inventory accuracy rate as a result of seeing their transactions from start to finish.

The Returns Management module has greatly improved the traceability of product returns. Prior to using the Returns Management module in Microsoft Dynamics GP, the returns process at Celleration was handled by a manual spreadsheet. After implementing Returns Management, the receiving and quality departments at Celleration have insight into the expected returns.

The Fixed Assets module was necessary to help with the capitalization of the equipment in the field. Before implementing the Fixed Assets module and WennSoft, Celleration was tracking off-site equipment installations in Excel. To reconcile the Excel tracking document with QuickBooks, Celleration dedicated one week each month to the process. By automating this process and having the Fixed Assets module integrated with the General Ledger and WennSoft, Celleration now has the ability to update this information in real-time, which has greatly improved efficiencies.

To assist with daily sales reporting, Celleration implemented Jet Reports. Jet Reports pulls pertinent sales information from GP and automatically emails a daily activity report to each sales team member.

By deploying Microsoft Dynamics GP, a fully-integrated system, Celleration was able to reduce headcount and save $75,000 annually.

Future Plans
Future plans for Celleration's Microsoft Dynamics GP solution includes the integration of a third party medical billing system. This medical billing system will allow Celleration to create customer records in a single, fully-integrated, system.
